An invoice app can send a professional bill without being the right system for your books. The best accounting software for small business has a broader job: keep financial records organized, reconcile activity and produce the reports your accountant needs.
Start with those requirements before comparing five familiar names. This is a documentation-based shortlist, not tax advice or a promise that a product meets every local reporting requirement. Your accountant should confirm the regional edition and the reports needed for your business.

First decide whether you need invoicing or accounting
An invoicing requirement is to create and send a bill, collect payment and know whether it is outstanding. Accounting may also require reconciling bank activity, recording supplier bills, classifying expenses and producing financial statements.
If you only need client billing, read our invoice app comparison first. If your accountant needs a full ledger and period-end reports, do not select solely on the invoice template. Ask which exports or ongoing access they expect before you subscribe.
Zoho Books: separate the feature tier from the Free label
Zoho’s US plan page lists accounting records and reports across several editions. Free eligibility and limits should be checked for your regional business, while bank feeds, multiple users, multi-currency and inventory may change the required paid tier.
Shortlist it when you want to compare a defined accounting workflow against those editions, especially if other Zoho tools are already part of the process. Do not assume a connector or cross-app subscription is included merely because the vendor name matches.
Wave: useful to investigate in its supported market
Wave’s Starter and Pro structure makes it a candidate for a US or Canadian small business evaluating bookkeeping alongside invoices. Payment processing, payroll and some automation are separate cost or availability questions.
Check how bank records enter the account, who can access it and whether the accountant can use the resulting records. If you operate outside the supported market, remove it from the shortlist before investing time in an import.
Xero: check the country and the whole monthly process
Xero’s regional plans differ. Start from the correct country and list invoices, bills, currencies, payroll and team needs. A plan that covers a simple month may fail when transaction volume or currency requirements change.
It is a candidate when the accountant’s ongoing workflow and financial reporting are important. Confirm the process with that accountant during the trial. Their familiarity can matter, but it does not remove the need to check the plan limits and cost.
FreshBooks: count the clients and the people
FreshBooks is worth investigating for a client-billing service business that also needs accounting capabilities. Its subscription structure can depend on billable clients, and accountant collaboration or additional people can affect the plan.

QuickBooks Online: use the actual regional product
QuickBooks has regional product and plan differences. Confirm that the version you are evaluating includes the required users, accounting reports and integrations. Check regular renewal cost and any payroll or service purchased separately.

A worked requirements example
An illustrative consultancy bills clients in two currencies, records supplier expenses and gives an accountant access at month end. Its checklist includes the correct local tax settings, multi-currency capability, an accountant workflow and a bank-reconciliation process.
The owner should shortlist two products whose relevant plans meet those needs. During the trial, create a safe sample invoice, record an expense and payment, reconcile the sample records, and export the report the accountant requests. Ask the accountant to identify missing fields before importing the full history. This is a suggested trial, not an observed product test.
Compare the real cost and plan the move
