The cheapest invoice tool can become an expensive choice if it does not fit the way your books are maintained. FreshBooks and QuickBooks Online both support small businesses, but client limits, user access and reporting needs change the comparison. Start with the person who reconciles your records, not just the person who sends invoices.

This article compares the documented software plans, checked on 6 October 2026. It is not tax advice, and we did not buy either product or test its accounting accuracy. QuickBooks here means QuickBooks Online on the US pricing page, not Desktop or every regional product.

The main difference to investigate

FreshBooks’ plan structure makes billable clients an early decision point: Lite lists five, Plus 50 and Premium unlimited. A service business should therefore check how its client count affects the required tier before comparing a starting price.

QuickBooks Online’s paid plans distinguish user access and expanded reporting capabilities. Plus lists inventory and project profitability, while accountant access is available on paid tiers. Those features may matter more than the invoice editor when several people are responsible for the books.

This is a shortlist, not a universal winner. Define the work: issuing an estimate, invoicing it, collecting payment, recording an expense, checking a bank transaction and producing a useful report.

Example: a consultant with 12 billable clients

Suppose a consultant invoices 12 clients and wants their accountant to collaborate. FreshBooks Lite’s five-client allowance does not fit that scenario. Plus lists 50 billable clients and accountant access, so it is a more relevant starting point.

QuickBooks Simple Start lists one business user plus access for two accountants. If one owner handles the day-to-day records, that may be the appropriate paid candidate to evaluate. If three colleagues need business-user access, Essentials becomes a different comparison. These are illustrative requirements, not a conclusion about your accounting needs.

FreshBooks vs QuickBooks pricing: use regular costs

FreshBooks displayed regular monthly prices of US$23 for Lite and US$43 for Plus alongside introductory offers. QuickBooks Online displayed US$38 for Simple Start and US$85 for Essentials alongside a 50% discount for three months.

Using the regular monthly rates for twelve months, FreshBooks Plus is US$516, while QuickBooks Simple Start is US$456, before taxes and optional services. That US$60 difference does not settle the decision. Additional team members, payment processing, payroll and the feature tier you really require can change the total. Annual discounts or promotional eligibility can also change the checkout quote.

FreshBooks listed additional team members at US$11 each per month. A US$1 introductory offer should not be presented as the continuing software price. Save the exact promotional duration and renewal terms before subscribing.

What about the QuickBooks free option?

The US page now lists Free with one user, one bank connection and two invoices per month. It describes an unlimited-invoicing exception for users who qualify for and enable QuickBooks Payments. Free does not include accountant access.

That option may be worth investigating for a very limited pilot, but it does not fit the accountant-collaboration example above. Eligibility and payment terms require checking. Do not assume that free software also removes transaction charges.

Switching from QuickBooks to FreshBooks

Treat migration as a separate project. Ask your bookkeeper what must transfer: customer details, outstanding invoices, payments, account balances, expenses, attachments and historical reports. An export file existing does not prove every relationship or historical record will import correctly.

Test a small safe sample and compare the resulting records and reports. Agree on the changeover date, preserve a read-only copy of the original records and verify the opening position before using the new system for ongoing work. This article does not claim a complete automated migration route.

Does FreshBooks integrate with QuickBooks?

We have not verified a supported native two-way connection from the official sources used for this comparison. Do not assume that both products appearing in an automation directory guarantees a safe accounting sync. Identify the exact records, direction, supported connector and duplicate-prevention rules before connecting live books. If the requirement is migration rather than ongoing sync, evaluate an import process instead.

The trial that matters

Create an estimate and invoice, record a sample expense and payment, and inspect the report your accountant expects. Test access for each role and confirm what happens when someone leaves the team. Ask the person maintaining the books to approve the workflow before a full migration.
