Is Pipedrive good for a small business moving off spreadsheets?

It can be, if the team is ready to pay per seat for a dedicated sales pipeline; if the year-one budget is zero, a free CRM is the safer start. A spreadsheet works until two people update it at once, or until nobody remembers which customer was promised a call back. Pipedrive’s approach is to make every deal a card in a stage, so the team sees what is open and what is next. The question for a small team is not whether it has enough features. It is whether the team will use it daily and whether the plan you need fits the budget.

Choosing the right plan before the trial ends

The plan structure has one decision point most small teams hit early. Lite covers lead, calendar and pipeline management. Growth adds full email sync with tracking, plus automations and nurturing sequences. If your salespeople live in their inbox, a CRM that does not capture email means manual logging, and manual logging is easy to skip. Trial with the features of the plan you would actually buy, and check which tier the trial unlocks.

Because pricing is per seat, count everyone who needs to edit deals, not only full-time salespeople. A part-time colleague who only adds notes still needs a seat.

A practical import plan

Pipedrive’s import accepts one spreadsheet tab at a time, with a header row. Before importing:

  1. Decide your pipeline stages and write a one-line definition for each, such as “Quote sent: price emailed, awaiting reply”.
  2. Split people and companies into separate columns so duplicates can be matched.
  3. Remove rows for deals that are already lost, or import them into a separate lost stage.
  4. Import a small test file first and check the field mapping before importing everything.

Cost drivers to check

  • Number of seats now and in twelve months.
  • Whether Growth, not Lite, is your real starting plan.
  • Annual versus monthly billing; the prices we checked were annual.
  • Any paid add-ons you would need, which the vendor’s pricing page lists separately.

When to choose something else

If the budget for year one is zero, HubSpot’s free CRM supports up to two users and 1,000 contacts. If your main need is sending newsletters rather than tracking deals, an email marketing platform is the better first purchase.
