A CRM only helps when the team can answer two questions without searching through inboxes: who owns this deal, and what happens next? Pipedrive and Zoho CRM are both candidates, but their free access and paid editions make the shortlist work differently. Begin with your sales routine, then price the version that supports it.

Free access: a trial versus a continuing edition
Pipedrive advertises a 14-day free trial. Zoho CRM lists a continuing Free edition for up to three users. That distinction matters if your team needs time to establish a habit before paying.
Zoho’s three-user allowance can support a small evaluation, but the feature limit matters just as much as the seat count. Basic lead and contact management is not the same as the automated process you may need later. Check whether your required email, permissions and workflow features belong to a paid edition.
Pipedrive’s trial lets you investigate the paid setup. Record which tier each useful feature belongs to, so your team does not become dependent on trial access that disappears when you select a lower plan.
For email-led sales, compare the relevant tier
Pipedrive Growth lists full email sync with tracking, automations and nurturing sequences. Lite focuses on the core pipeline and related sales organization. If your team expects emails to appear against deals automatically, the budget comparison should start with the email-capable tier.
For Zoho CRM, map each required behavior to an edition: receiving an inquiry, assigning an owner, scheduling the next task, sending a relevant follow-up and showing the result in a report. An edition name does not establish that every step is included. Verify the actual trigger and action you need.
What three Pipedrive seats cost on the displayed annual rates
The current pricing page displayed Lite at US$14 per seat per month equivalent, invoiced as US$168 per seat annually. Three seats therefore total US$504 per year before taxes and extras.
Growth displayed US$24 per seat per month equivalent, invoiced as US$288 per seat annually. Three seats total US$864 per year, or a US$72 monthly equivalent. These are calculations from the annual rates displayed on 6 October 2026. They are not monthly-billing quotes or a promise about future prices.
The Zoho page redirected to an en-us URL but returned INR prices. We could verify the free user allowance, but not a US-dollar paid quote. Converting those INR values would not prove what a US customer pays. Get the US-region quote for the edition and seats you need, then compare annual totals on the same basis.
Try a pipeline your team recognizes
Use stages such as New inquiry, Qualified, Proposal and Decision. Give every deal an owner, an expected value and one next activity. Use safe sample contacts rather than importing your entire customer history immediately.
Ask each salesperson to move a deal, log a conversation and schedule a follow-up. Then ask the manager to find deals with no next activity and those waiting too long in one stage. Check whether your intended plan provides the necessary report and permissions.
The aim is not to make a polished demonstration. It is to find where everyday work becomes unclear. If a colleague cannot identify the next action, simplify the process before adding more automation.
Migration and total cost
Before moving records, list the fields, notes, activities and attachments you must preserve. Test a small import, check duplicates and verify who owns each deal afterward. Keep an export of the original data and agree on when the old system stops receiving updates.
Include setup time, training and optional add-ons in the quote. A small per-seat difference can be less significant than a missing email capability or a process your team does not maintain. Neither tool should win simply because it has more settings.
