HubSpot’s free CRM can help a small team get out of scattered spreadsheets, but the useful question is whether it fits the way your team works now. Start with people, contacts and next actions; evaluate advanced automation afterward.
The current HubSpot product page describes free CRM access for up to two users and 1,000 contacts, with no expiration date. This guide explains how to evaluate those limits. It is based on official documentation checked on 6 October 2026, not a hands-on review or a promise about every account’s legacy entitlements.
What does HubSpot free CRM include?
The official page lists contact, deal and task management, email tracking and notifications, templates and scheduling, document sharing, meeting scheduling and live chat among the free tools. Those functions can help organize a basic sales routine: record the contact, identify the deal owner and decide the next activity.
A feature being listed does not establish that its allowance is unlimited. Check the limit of the particular tool inside the current account and the applicable product catalog. The free CRM, Marketing Hub and Sales Hub paid tiers are related products with different capabilities; do not treat their feature lists as interchangeable.
HubSpot free CRM limits at a glance

These are separate limits. A team with only 600 contacts can still need an upgrade because its third user needs access. Equally, a two-person team may fit the contact allowance but require an email workflow that the selected product tier does not support.
Older articles or community replies may describe different entitlements. Record what your account actually includes and compare it with the current product catalog before importing your full database.
The two limits to check before importing
Count the people who need their own access. If three sales colleagues must work in the CRM, a two-user free allowance does not meet that requirement. Shared credentials are not a substitute for appropriate access and accountability.
Next, inspect your contact list. Clean duplicate and obsolete records before estimating capacity, but retain the information you need for consent and suppression. A current list below 1,000 may still outgrow the allowance quickly. Write down the expected contact count in six and twelve months, not just today’s total.
Example: two colleagues and 800 contacts
Imagine an owner and one salesperson managing 800 contacts. They need one pipeline, clear deal ownership and a next task for every open opportunity. That is a reasonable free-CRM pilot to investigate within the advertised user and contact limits.
Now add a third salesperson and a requirement to send a conditional follow-up automatically. The original fit no longer settles the purchase. The user allowance has changed, and the automation must be mapped to the tier that supports the exact trigger and action. This is an illustrative scenario, not a workflow we tested in HubSpot.
What limitations usually change the decision?
Three questions are more useful than a long feature checklist:
- Does each person have the access and permissions they need?
- Can the required email or automation behavior run on the selected tier?
- Can the report answer the question your team uses in a weekly meeting?
Keep CRM contacts, marketing-contact billing and email-send limits distinct. A contact stored in the CRM is not automatically an unlimited marketing-email recipient. This guide does not quote an unverified free email allowance or promise a particular automation action limit; confirm those in the current product terms.
HubSpot free integrations: verify the actual job
An integration listing is the start of an investigation. Ask which event triggers the connection, which fields transfer and whether the required feature needs a paid subscription on either side. A contact import, a deal update and a two-way sync are different jobs.
Test a safe sample with an existing record as well as a new one. Check duplicate handling, field ownership and what happens when the connection fails. Record who will investigate an expired token or a missing update. We have not tested a specific integration for this guide.
When to price a paid plan
Obtain a quote when a necessary user, feature or report exceeds the free setup. Describe the requirement in plain language before asking for a tier: “When a deal reaches Proposal, create a task for its owner” is clearer than “we need advanced automation.”
Price the required seats and modules together. Save the billing period, renewal rate and optional charges. Compare that full quote with another product supporting the same work, rather than comparing one vendor’s free plan with another’s most expensive tier.
A simple fit check before you upgrade
For the two-person, 800-contact example, there is space for 200 additional contacts under the advertised cap. If the team adds a net 50 contacts a month, that is four months of numerical headroom, assuming the cap and existing count stay unchanged. This is arithmetic, not a forecast of your growth.
Write three requirements next to that calculation: who needs access, which message or action must be automated, and which weekly report must work. If any requirement fails, get a quote for that specific capability. Do not buy a tier merely to avoid a limit you will not reach.
A first-week evaluation
Import a small clean sample, create the pipeline and assign every deal a next action. Ask both users to update their own work. Review deals with no next task and overdue activities. Then test the one integration or automation that could determine the purchase.
