The short answer: the best free Zapier alternative is self-hosted n8n if someone on your team can run a server, Power Automate if you already pay for Microsoft 365, and Make, Activepieces or Pabbly Connect if you want a hosted tool that counts usage differently. IFTTT fits only very simple automations.

Every fact below comes from the vendors’ own pricing pages, documentation and licence files, checked on 6 October 2026. We have not tested these tools hands-on, so treat this as a shortlist to trial, not a verdict. Prices are quoted in US dollars where the vendor shows them; where a vendor shows another currency, we point you to its pricing page instead of converting.

Free Zapier alternatives at a glance

The free allowance on the label matters less than the unit it is counted in. A “task”, a “credit” and an “execution” are not the same thing, so compare the third column before the second.

You will also see Pipedream in many lists. Its pricing page now describes the Free plan as “development only”, with production on paid plans, so it is not a like-for-like free replacement for live Zaps. Check its current terms if you are a developer.

Activepieces: check the allowance and recovery behavior

The hosted Free card advertises 1,000 credits per month and unlimited flows. However, the same pricing page says daily in the reset table and monthly in the free-plan FAQ. We cannot establish a reliable reset interval from that conflict. Confirm it in your account or with the vendor before depending on a paused workflow restarting.

The community core is MIT licensed; commercial-edition features have separate boundaries. Our Activepieces profile explains the hosting and licensing choice. A free software license does not provide server maintenance, backups or recovery on your behalf.

Is Zapier free?

Yes. Zapier’s free plan lists 100 tasks per month, two-step Zaps (one trigger and one action) and a 15-minute polling time. Multi-step Zaps start on the Professional plan, displayed from $19.99 per month; confirm the selected task tier and monthly or annual billing terms before budgeting.

The catch is how Zapier counts usage. According to its help centre, “A task is any successful action that runs in Zapier.” Triggers, filters, paths and Formatter steps do not count. So a workflow with three actions uses three tasks every time it runs.

That is why people search for cheaper Zapier alternatives. The free plan is fine for one simple handoff. It gets expensive when workflows grow longer, not only when they run more often.

Which free Zapier alternative fits your business?

Start with who will maintain the tool, then look at the shape of your workflows. These rules cover most small businesses:

  • Pick n8n if you have a developer or a technical person and want long workflows without per-step charges.
  • Investigate Activepieces for hosted run-based counting or a self-hosted community core. Compare non-AI flows separately from AI usage and confirm the credit reset behavior.
  • Pick Power Automate if your team already has Microsoft 365 and your apps use standard connectors.

  • Investigate Pabbly Connect if its exact connectors and paid workload quote fit; free internal steps alone do not establish a saving over Zapier.
  • Pick IFTTT only for one or two simple app or device links.

One check applies to all of them: confirm the exact trigger and action you need exists, not only the app name. A tool can list an app and still miss the one event your workflow depends on.

Zapier alternatives open source: what are your options?

There are three self-hosted options worth knowing, and only two of them are open source in the strict sense. The difference is the licence, and it matters if you plan to build a service on top of the tool.

n8n says it is “fair-code”, not open source. Its licence lets you use or modify the software “only for your own internal business purposes or for non-commercial or personal use.” For most small businesses automating their own work, that is enough. If you planned to resell automation built on n8n, read the licence first.

Activepieces says its “Community Edition is released as open source under the MIT license”, while enterprise features sit under a separate commercial licence. Its documentation recommends self-hosting with Docker Compose, PostgreSQL and Redis.

Node-RED describes itself as “low-code programming for event-driven applications”. It suits technical users and device or data flows more than a drop-in Zap replacement, so expect to build more yourself.

Is self-hosting really free?

No. The licence is free, the running costs are not. n8n’s documentation describes the self-hosted Community edition as free with most features, but installation and configuration are on you, using npm, Docker or a server. Budget for:

  • a server or cloud virtual machine each month
  • backups, so a failed server does not lose your workflows
  • updates and security patches
  • someone’s time when a workflow breaks

If nobody on the team can do this, self-hosting is a false saving. A hosted plan such as n8n Cloud or Activepieces’ free plan removes the server work. n8n lists its Cloud prices in euros, so check its pricing page for the current figure; Starter covers 2,500 workflow executions a month, billed annually, with a free trial.

Zapier vs n8n: what changes when you pay per run?

The main difference is the billing unit. Zapier charges per successful action step. n8n Cloud says its pricing is “based on monthly workflow executions, regardless of complexity”, and Activepieces says “a run is one credit however many steps it has.” For ordinary non-AI flows, step count alone is not the billing unit in this comparison. AI usage and product-specific rules must be checked separately.

Here is a worked example, using only listed limits. It is an illustration, not a quote.

Example: a small agency gets 300 website enquiries a month. Each enquiry triggers a workflow with three actions: add the lead to a spreadsheet, send a welcome email and post a message to the team chat.

Add a fourth action and the Zapier and Pabbly figures rise to 1,200 tasks. The Activepieces and n8n figures stay at 300. Add an AI step on Activepieces, though, and each run costs more: its pricing page lists 2 to 20 credits per AI step depending on the model.

Zapier vs Power Automate: who already has it?

If your business runs on Microsoft 365, you may already hold a Power Automate licence. Microsoft’s licensing documentation says Microsoft 365 licences let users create and run cloud flows with standard connectors, with a daily limit of 6k actions per user. Premium and custom connectors are not included.

So the test is simple. List every app in your workflow and check whether its connector is standard or premium. If all are standard, build the flow under your current licence before paying anyone.

If you need premium connectors, Power Automate Premium is listed at $15.00 per user per month, paid yearly, with a 30-day free trial. For a team outside the Microsoft ecosystem, there is no free plan to compare, so it is rarely the cheapest route.

Is Pabbly Connect a cheaper Zapier alternative?

It can be, depending on your workflow shape. Pabbly’s pricing page says triggers and internal steps such as Filter, Router and Formatter are not counted as tasks. Zapier also exempts filters, paths and Formatter steps, so those exclusions alone do not prove Pabbly is cheaper. Compare the metered actions, required features and current paid quote for the same job.

The free plan is the same size as Zapier’s: 100 tasks a month and 2-step workflows. Paid plans add multi-step workflows, and Standard includes 10,000 tasks a month. The pricing page shows paid prices in the visitor’s local currency, so check the US dollar figure there. Paid plans have no free trial, but Pabbly offers a 30-day refund.

Zapier vs IFTTT: when is the simpler tool enough?

IFTTT is built around Applets: one trigger and one action across apps, devices and services. The free plan lists 2 Applets with unlimited runs. Pro costs $2.99 per month (or $35.88 billed annually) for 20 Applets, multi-action Applets and webhooks.

Unlimited runs make IFTTT attractive for a busy but simple link between two services. It is not a replacement for multi-step business workflows on the free plan.

Who should stay on Zapier?

Switching is not always worth it. Stay if:

  • your workflows are two-step and fit inside 100 tasks a month
  • a specific app trigger or action you rely on is only available on Zapier
  • nobody has time to rebuild and retest working automations
  • nobody can look after a server, and the hosted alternatives miss an app you need

We did not rely on any automatic Zap import for this article, so plan for every switch to mean rebuilding and retesting.

How to switch without breaking things

  1. List each Zap with its trigger, actions and monthly run count.
  2. Check that the alternative supports each exact trigger and action, not only the app name.
  3. Rebuild your busiest workflow first, in the free plan or trial.
  4. Run the same safe test records through both tools and compare usage.
  5. Test a failure: a missing field, a duplicate record, an unavailable app.
  6. Compare both designs using test destinations or a shadow run that cannot send duplicate messages or write duplicate records. At the agreed cutover, disable the old live trigger before enabling the replacement against the same live destination. Monitor the first records and keep a rollback plan.
