How to evaluate an automation tool before you pay

A practical workflow checklist for comparing automation tools: app actions, usage limits, error handling, data access, and a focused trial.

Pick one real workflow, confirm both tools offer the exact app actions it needs, and compare how each bills usage for that workflow. During the trial, deliberately break a step to see how failures are reported, and check who can access connected accounts before choosing.

Start with one workflow

Write the trigger, input fields, actions, and expected result. For example: a new enquiry arrives, required fields are checked, and a record is added to your team’s tracker. This is an illustrative workflow, not a result from our testing.

Check the exact app action

An integration logo does not prove that the connector supports the action you need. Check your trigger, required fields, authentication permissions, and which subscription enables them.

Compare usage units carefully

Make lists 1,000 monthly credits on Free and a 15-minute minimum scheduled interval. Zapier lists 100 monthly tasks and two-step Zaps on Free. Credits and tasks are different units: the headline quantities are not a direct value comparison. Estimate usage for the same workflow, including loops and retries, using each vendor’s current rules.

Make failure handling part of the trial

Use non-sensitive test records to check missing fields, duplicates, expired credentials, and unavailable destination apps. Ask where failed runs appear, who receives an alert, and how a record can be safely replayed. Document the observed result rather than assuming the tool handles every case.

Review who can access connected data

List the permissions each connected account grants. Check team access, credential ownership, and how to revoke the connection. Review security and privacy documentation before moving live customer data.

Decide using a short scorecard

Record whether the workflow completes correctly, whether failures are visible, whether someone on your team can maintain it, and the estimated cost at your expected volume. A free plan can be a useful trial; it does not establish production suitability. Keep a manual fallback until the workflow is proven in your own environment.
