Who this page is for

Written for
A small B2B business or agency evaluating outbound email software
The problem
Plan prices omit domains, mailboxes, verification, data and deliverability testing
What we weighed
Contact storage, Send limits, Mailboxes, Verification, Warm-up, Reply inbox, Compliance controls

A $39 cold-email plan looks wonderfully cheap until the invoice acquires friends: extra domains, mailboxes, prospect data, verification and inbox testing. Then someone must read replies, honor opt-outs and work out why half the list was never a sensible prospect.

The platform is only one line in the outbound budget. Treating it as the whole stack leads to bad cost estimates—and usually bad sending behavior.

Published plan signals

Platform Entry signal Key allowance Best starting fit
Instantly Growth $47/month 1,000 uploaded contacts and 5,000 emails/month Small pilot with several connected inboxes
Smartlead Base from $39/month 2,000 contacts and 6,000 sends/month Teams planning to scale sending infrastructure
lemlist Email $69/month monthly; discount on longer billing 50,000 emails/month, unlimited users and senders listed Team collaboration and multichannel expansion

Instantly: best accessible pilot

Instantly’s help centre separates Outbound plans, data credits, inbox-placement tools, domains and email accounts. That separation is useful but proves why the headline fee is incomplete. Its Growth outbound plan is a practical small test; add the mailbox and data cost before comparing it with a larger plan elsewhere.

Smartlead: best scale-oriented option

Smartlead Base starts with 6,000 sends and 2,000 contacts; larger plans expand contacts, verified emails and infrastructure. It fits teams managing many inboxes or clients, but higher send capacity is not permission to send indiscriminately. Use strict list quality and reply monitoring.

lemlist: best email-to-multichannel path

lemlist’s Email plan prices by sending volume and lists unlimited users and senders, while Multichannel is per user and adds LinkedIn, SMS and WhatsApp capabilities. This is a materially different pricing model. Choose it when coordinated touches are part of the process, not simply because the allowance is large.

Calculate the real stack

For each vendor add:

  1. campaign subscription;
  2. domains and DNS management;
  3. sending mailboxes;
  4. prospect data;
  5. email verification;
  6. deliverability testing;
  7. CRM or reply routing;
  8. compliance review and suppression-list maintenance.

Then divide the total by verified prospects contacted—not emails sent.

A safer 200-prospect pilot

Start with a narrow, relevant business audience. Verify addresses, authenticate domains, keep volume low and include a clear opt-out. Measure positive replies, negative replies, bounces, spam complaints and meetings. Open rate alone is unreliable and does not measure commercial value.

What we would test first

Instantly is the practical starting point for a contained outbound experiment. Smartlead becomes relevant when several inboxes and higher scale are an immediate requirement, not a distant ambition. lemlist is worth the extra comparison when a team genuinely plans coordinated email and multichannel touches.

Protect the main business domain and keep the pilot small. If targeting is weak or complaints appear, more sending capacity is the last thing the campaign needs.

Common questions

What is the best cold email software for a small business?
Instantly is the straightforward low-volume outbound shortlist, Smartlead suits teams scaling many sends and inboxes, and lemlist suits teams wanting email or multichannel outreach with users and senders structured differently.
What does cold email software really cost?
Add the campaign platform, sending domains, mailboxes, lead data, verification, inbox-placement testing and staff time. The platform subscription alone is not the stack cost.
Does email warm-up guarantee inbox placement?
No. Deliverability also depends on authentication, domain reputation, list quality, complaint rate, message relevance and sending behavior.
Is cold email legal?
Rules vary by country and recipient type. Obtain legal guidance for the markets you target, identify the sender, use a lawful basis where required and provide a working opt-out.
